Real Estate Virtual Assistant

Position Overview
We are looking for a highly organized, proactive, and detail-oriented Real Estate Virtual Assistant to support our growing real estate team. This role is ideal for someone with strong administrative skills, excellent communication abilities, and the capacity to manage multiple tasks efficiently in a fast-paced environment.

The successful candidate will play a key role in ensuring smooth daily operations, supporting client communications, and assisting with transaction coordination while delivering exceptional service.

Key Responsibilities

Administrative Support
- Manage calendars, schedule appointments, and coordinate meetings
- Handle email correspondence, respond to inquiries, and maintain organized email databases
- Prepare, edit, and proofread documents, reports, and presentations
- Organize and maintain digital filing systems
- Manage social media accounts, create engaging content, and schedule posts

Client Communication
- Respond promptly and professionally to client inquiries via phone and email
- Coordinate property showings with clients, agents, and other stakeholders
- Prepare and distribute marketing materials such as property flyers and brochures
- Follow up with clients to gather feedback and provide timely updates

Transaction Coordination
- Assist with preparing and processing real estate transaction documents
- Track deadlines and ensure all required paperwork is completed accurately and submitted on time
- Coordinate with title companies, lenders, and other parties involved in transactions
- Monitor transaction progress to help ensure smooth and successful closings

Technical & Marketing Support
- Maintain and update CRM systems to manage leads and client data
- Utilize digital tools to create marketing content and manage online presence
- Assist with website updates and content management
- Troubleshoot minor technical issues as needed

Qualifications
- Proven experience as a Virtual Assistant, Administrative Assistant, or similar role
- Real estate industry experience is an advantage
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience with CRM platforms such as Follow Up Boss, Salesforce, or similar systems preferred
- Ability to work independently and meet deadlines
- High school diploma or equivalent required; additional education is a plus
