Role Overview
The Operations Coordinator will provide comprehensive operational, administrative, and organisational support across the business. This role combines Executive Assistant support, office management, HR administration, and temporary workforce compliance, ensuring the smooth day-to-day running of the company and effective support to the Operations Manager and senior stakeholders.
Executive Assistant Support
• Light diary management for Managing Directors
• Coordinate diaries for company-wide and team meetings
• Produce high-quality client documentation, including proposals, shortlists and PowerPoint presentations
• Review terms of business and create addendums as agreed with prospective clients
• Provide general administrative and organisational support to senior Fee Earners
• Manage travel arrangements, including flights, accommodation, trains and taxis
• Manage expense submissions and tracking
• Collate and prepare business activity and performance reports from Vincere
• Support ad hoc projects as required
Office Management
• Oversee the day-to-day management and organisation of the office
• Act as the primary liaison with external suppliers and service providers, including IT support, telecommunications, database providers, landlord, building management and cleaning services
• Assist with office relocations and space planning as required
• Monitor, order and manage stationery, office supplies and IT equipment
• Organise and support company events, including sourcing venues, booking restaurants and arranging travel, hotels etc.
HR & Operations
• Support employee onboarding and offboarding, including laptop setup and ensuring new starters are fully equipped from day one
• Organise and coordinate induction programmes for new employees
• Maintain accurate staff records, including holiday, sickness and absence tracking
• Coordinate staff appraisal meetings
• Support internal training programmes in conjunction with third-party providers where required
• Administer employee benefits
• Provide temporary workforce compliance support across PAYE, Limited Company and Umbrella arrangements, including right-to-work checks, IR35 awareness, and compliance with employment and tax legislation
o Maintain up-to-date knowledge of compliance requirements and legislative changes impacting temporary labour
o Track and manage contractor timesheets to support accurate payroll processing
• Ensure company policies and records are kept up to date
• Upload original and formatted CVs weekly to Vincere
• Act as CRM super user, providing system support and guidance to the wider team
• Assist with basic accounting, invoicing and operational finance tasks
• Support ad hoc operational and business improvement projects
Experience in recruitment operations, sales support, or similar administrative roles
• Strong organisational skills and attention to detail
• Proactive and able to think on your feet
• Technically competent with Word, PowerPoint, CRM systems (training can be provided)
• Excellent interpersonal skills; demonstrating empathy, and resilience
